We process individuals’ personal data for the sole purpose of sharing competence between companies. When we write “we”, we mean MIN MENTOR as a provider of the hub, and MIN MENTOR as an independent company. When we write «you», we mean you as a customer, you as a representative for the customer, and you as an employee and individual user of the hub. We also mean you as any other relevant party.

1. What data we collect

Personal data is in most cases collected directly from you or generated as part of the use of our services. Sometimes additional information is required to keep the information up to date or to verify the information that we collect. We are only collecting data necessary to run our services, and the collection of personal data is kept to a minimum.We collect the following:

  1. Information about customers of the hub (for example, but not limited to, organizational number, name, signature rights);

  2. Information about representatives signing on behalf of the customers (for example, but not limited to, name, phone number, e-mail); and

  3. Information about employees made available for sharing of competence (for example, but not limited to, your job position, your employer, your education, and skills).

2. How do we collect your data?

We collect and process data you provide directly to us, and when you:

  1. Become a customer.

  2. Register a new user.

  3. Register positions and skills linked to the user/personnel.

  4. Update positions and skills linked to the user/personnel.

  5. Voluntarily complete a customer survey or provide feedback on any of our message boards or via email.

  6. Use or view our website via your browser's cookies.

We collect data from public records to verify that individuals signing up on behalf of companies have the right to represent the company and sign contracts on behalf of the company.

3. How we use your data

We use your personal data to comply with legal and contractual obligations and to provide you with the services of the competence hub. We can use the data to create aggregated and anonymous statistics for testing and development of new products and services.

We will also use your data to:

  1. Process and manage your account;

  2. E-mail you information on other products and services we think you might like;

  3. Provide updates and changes in our services; or

  4. Provide Information directly related to the competence hub (i.e. new customers, requests or skills added).

The main purpose of our processing of personal data is to:

  1. Collect, verify and process personal data prior to establishing a contract with your company;

  2. Collect, verify and process personal data provided on each individual registered in the hub;

  3. Document, administer, and complete tasks for the development and usage of the hub;

  4. Provide customer service during the contract period; and

  5. Comply with a legal obligation, such as rules laid down by courts, statutes, or regulations.

4. To whom we may disclose your personal data

The competence hub is a platform for sharing of personnel. Your personal data will be shared with other customers of the hub once there is interest from both parties to share your competence. We may also share your personal data with suppliers and business partners. Before sharing we will always ensure that we respect relevant financial industry secrecy obligations and privacy policies. To fulfill services and agreements we must disclose information about you.

To provide our services, for example, verified electronic signatures of contracts, we disclose data about you that is necessary to identify you. This includes, but is not limited to, secure identification solutions public records, and financial institutions.

In addition, data are disclosed, with your consent or if this is permitted pursuant to legislation, internally MIN MENTOR, and to external business partners.

We have entered into agreements with selected suppliers, which include the processing of personal data on our behalf. These are suppliers of IT development, maintenance, system logging, system surveillance, hosting, and support. Some of these suppliers are situated outside EU/EØS. The purpose for the transfer of data is stated below.

5. How we protect your personal data

Keeping your personal data safe and secure is at the center of how we do business. We use appropriate technical, organizational, and administrative security measures to protect any information we hold from loss, misuse, and unauthorized access, disclosure, alteration, and destruction.

Personal data is also processed in the context of marketing, product- and customer analysis. This processing forms the basis for marketing, process-, business- and system development, including testing. This is to improve our product range and optimize our customer offerings.

We wish to give our customers relevant information and marketing on social platforms and websites, to respond to your comments and inquiries, and provide you with user support.

We also analyze social media activity related to our tasks and monitor the use of our own social media channels to review the effectiveness of our marketing programs and analyze other general demographic trends.

When you use any of our social media channels we may record and retain information about you. This may include your use of our sites and the frequency of your visits. The individual social media channels may also be permitted to

share certain information with us in accordance with your personalized privacy setting on those channels. Anonymized and aggregated statistics cannot be linked to a natural person.

If you have agreed to receive marketing, you may always opt-out at a later date.

You can always withdraw your consent to receive marketing communications from MIN MENTOR or to otherwise be contacted for marketing purposes.

7. Your privacy rights

MIN MENTOR would like to make sure you are fully aware of all your data protection rights. Every user is entitled to the following:

Request access to your personal data

You have a right to access the personal data we are keeping about you. In many cases, this information is already presented to you in your online services from us. You can get your personal data directly from QUALA or from your company’s admin-user.

Request correction of incorrect or incomplete data

If the data about you is incorrect or incomplete, you are entitled to have the data corrected. You can do this yourself, by contacting your manager or by contacting QUALA.

Request deletion

You have the right to request deletion of your data at any point. Deletion of your data will be performed by your admin user. If you are representing a company, and your company no longer wishes to be part of the competence hub, you must get in touch with QUALA to delete all data about your company and employees. Data necessary for the performance of a contract and as required by retention requirements in laws and regulations will not be deleted.

Data portability. You have a right to receive personal data that you have provided to us in a machine-readable format.

Your request to exercise your rights as listed above will be assessed given the circumstances in the individual case. Please note that we may also retain and use your information as necessary to comply with legal obligations, resolve disputes, and enforce our agreements.
